Why won't ContactsLaw let me archive a particular file?
In order to preserve the integrity of your data, ContactsLaw only permits files to be archived when a number of record-keeping criteria have been satisfied:
- Are monies still being held on trust?
You must disburse or refund all trust monies before archiving a file.
- Are there any unbilled disbursements recorded on the file?
You must bill or write-off any disbursements before archiving a file.
- Is there an outstanding debtors balance on the file?
You must recover, credit or write-off the debtors balance before archiving a file.
- Is there an unfinalised upfront bill on the file?
Upfront bills open a billing period, which must be closed before the file can be archived. If you have not already done so, post a finalising bill to close the period and distribute performance statistics to members.
- Have all trust transactions pertaining to the file been reconciled?
Due to the potential for changing/deleting transactions until the point of reconciliation, all trust transactions on a file must be reconciled before a file can be archived.
- Have all general transactions pertaining to the file been reconciled?
For all general accounts marked as reconcilable, transactions posted to a file must be reconciled before a file can be archived. Note: Over-zealous use of the 'reconcilable' property may adversely affect your practice's ability to archive files; we do not recommend marking any of the following accounts as reconcilable: Debtors, Bad Debts, GST Liability, Provision for GST, Professional Fees, Unbilled Disbursements, Disbursements Written Off, Fixed Charges, Interest Received or Discounts.
- Are there unallocated funds on the debtors ledger?
Depending on your permissions, you may not be able to archive the file if it has an unallocated debtor balance. If unallocated funds are detected, you will be prompted to send the request to an authorised member.
